Our client, an international NYC law firm, is looking for a Marketing Assistant to join their team. This person will be responsible for facilitating the production of the firm’s implementation of events, seminars, client presentations and conferences. Additionally, this individual will act as the central point for coordinating the firm’s seminar materials and PowerPoint presentations.

Candidates from legal or other related professional services industries are encouraged to apply! Must have 1-2 years of event planning experience (internships OK).

This is a permanent, full-time position with competitive salary + bonus.

Responsibilities:

• Manage all event details including decisions about menu, décor, entertainment, security, photography, videography, agenda, ticketing, gifting, transportation/car service, arranging special accommodations and hiring staff and consultants
• Make arrangements with the external vendor team to set up live webcasts and seminar recordings
• Manage and create budgets, milestones and timelines for various seminars
• Work with Conference Center to coordinate logistics including catering/menu selections, booking of appropriate rooms/layout, and other administrative even planning tasks
• Possess research skills for both international and domestic venue research
• Work alongside partners and Events team to draft and source ideas and venues for client development events
• Report to partners about attendance, deliverables and deadlines
• On-site event management and post-event follow-up
• Assist in overseeing event support staff during large events
• Work with other departments to organize all seminar materials (name tags, gifts, material handouts etc.)
• Stay updated on creative venues, event trends, locations and vendors
• Be knowledgeable of the firm’s market offerings, target business audience and practice areas
• Create invitee lists with other marketing and business development team members
• Book and source venues and vendors
• Negotiate prices
• Hire outsourced planners and consultants as necessary

Educational requirements:

Bachelor's Degree

Experience requirements:

1-2 years in professional services event planning

Qualifications:

Successful previous event planning experience in NYC atmosphere
